Carolyn had some questions regarding advancement and whether exact dates were needed.  She was told that exact dates aren’t necessary for cub advancement.  Renee will send a reminder out that advancements are due no later than Tuesday the 20th at the end of den meetings.  Any later and advancements will have to wait until Blue and Gold.

Renee also mentioned Freecycledayton.com for used uniforms.

Karl talked about the November Pack meeting.  He wants a parent from each den to help with a game during the pack meeting.  There will be awards, care packages and an Indian Presentation as well.  Reminder that Den 6 is to have prepared an opening and closing for the night.  If suggestions are needed they can see Karl.

Riverscape was talked about.  Upon further investigation (after the meeting)Lisa realized she is wrong and we didn’t charge for the first 50 skaters last year.  The committee will need to decide if we will charge this year or not.

Karl brought up the 100th anniversary logo contest.  See scouting.org/100 years.

Angie said she is talking to Gary Ridgeway and FOP regarding helping us with the Christmas party (special guy).  Den 1 will have snacks, den 2 will do a game, den 3 (no word from yet), den 4 will do ornaments, den 5 will have santa bingo, den 6 will do face painting and den 7 will do reindeer clothespins.  A discussion took place on what kind of ornaments would be appropriate.  Den 4 will work on that.  Since this is taking place right after the caroling the dens need to make sure that 1-2 people from their den is at the school to set up.

Angie has secured donations from Target and Sams around February to help with additional equipment needed.

A discussion took place regarding a spring fundraiser.  Since popcorn sales have come in $3000 less we are in need of another fundraiser.  We are looking at candy bars (Harry London or one the HS student council did).  Also looking at Car wash, breakfast with Santa or Easter Bunny.  We may have a concession at the Bike Rodeo in May or jail-n-bail or something else.  Because of funds the Webelos 2 plaques were also discussed.  It was felt that if we can keep the cost to $1-$2 then we can go ahead and do it.  Someone will need to make these.  Also Blue and Gold was talked about in regards to food costs.  We will need to keep costs down a little or charge for extended family members.  A lot like last year, but doping carry -in again was also brought up.  This will have to be decided at the next meeting.

A big discussion took place regarding communication.  It has not been as good this year as past years.  Talk came around to needing the training information to get out better both from District and pack level.  It needs to be explained better and why we need it.  We may possibly do an info booth where permission forms, infoon uniforms, etc will be.  Karl suggested that Lisa go from den to den (1-2) each week to answer questions of leaders and parents.  She plans to start that this next week until a full round has been made.  She will do it again in early Spring.  Another suggestion was to have a board at the beginning of the year with pictures to tell new parents/leaders who to talk to about certain items.  Lisa also said that permission forms need to go out sooner (need to be out by pack meeting month before event.  Example:  caroling, riverscape should be out by November pack meeting.  If an event is at the beginning of the next month (i.e January) then that too goes out then. )  This will give parents enough time to plan.  Newsletters and website are also good resources for information.  Leaders are first line though.

Lisa will not be at Cub Adventure this year.  Neither will Norm or Karl because of the Math Pentathlon in Indianapolis.  Renee offered to be in charge of it, but she needs BALOO training.  Need to know when the next one will be.

It was also noted that we’ve lost a few more boys:  Tristan Tussey, Dylan Breyer, Jared Hanes, Joshua Clappsaddle.

Minutes for October 18th Committee Meeting

Meeting began at 7:20pm

Todd asked if we can talk to Council about allowing popcorn sales to run to mid-November.  Lisa said she’d talk to the Key three for the district but doubted it would get anywhere.

Todd has also asked that there be less activities around popcorn time.  We can’t do anything about the Council calendar but to not add anything of our own during this time.

Karl was wondering what the turnout was for the railroad.

Karl was also wondering if we can get another room at Russell for meetings, maybe the stage or the teacher’s lounge.  Lisa said she’d ask again but has been told no in the past.

Lisa is also to make sure that Amy Phelps has the PTO closet unlocked on scout nights so we can store things in there.

Jack asked about whether we can get a trailer.  Lisa mentioned that we don’t have the funds to pay for one.  Jack will investigate donations for/of the trailer and for the insurance.  He’d also see if the school would allow us to keep it on their property.  It was mentioned that any donations would have to run through Council.  We also need more lanterns, another stove and another griddle for the equipment.

Renee said that all advancement for the November Pack meeting is due November 20th.  If using tracking software just send that.  She has in the works that will allow the leaders. to enter their own advancement on the website.  Tigers have invited the Wolves and Bears to join them at Sunwatch on Saturday December 15th.  Cost is $4 kids, $5 adults.

Per Karl the October meeting is set.  Den 5 has the opening and closing.  We should have shelters if it rains.

Lisa is to send out the list for the care packages.  November Pack meeting will have the awards/Shawnee tribe member (Karl will check to see if they are available)/care packages.  Den 6 is the service den for November.  They will have the opening and closing at the Pack meeting.

Ski Day for the Council is set for January 27th and Klondike is January 19th for the District.

Angie is handling Blue and Gold.

Sue recommended that we need to strongly encourage all den leaders to come to the committee meetings or they need a parent representative.  Also will push a little more for parents to join the committee.

The new Quality unit award is the Centennial Award and for the pack to get it we MUST have 75% of the leaders trained in youth protection (every two years) and their basic training for their position..  There is a link on the Council website for training in Youth Protection/Fast Start.

Still need chairs for Pinewood Derby race and Concessions.

Need to make sure Mike C. is at Blue and Gold.

Lisa talked about the Christmas Party on December 20th.  We have school at 6:30 so someone from each den will need to be at the school instead of caroling to set up.  Lisa will check into small candy canes and gifts for the kids from Santa.  Can Tammy get Father-in-Law as Santa?  Den 5 will have Santa Bingo, Tigers will have snacks, Den 4 has ornaments, and Den 7 has clothespin reindeer.  Need both Webelos 2 dens to come up with games.

Second chance signups will be on November 13th.  Only fliers will go out and new boys will be coming for den meetings then.  We ask all boys to wear their uniforms to school that day (and Pack nights).  We’ll only give fliers to 1-4th grades.  All dens in those age groups should make sure they are at the school that night.  No field trips please!

Lisa talked about her transition out as Cubmaster.  At the November 6th meeting she will announce that we need to start training two people to take over for Karl and Lisa.  Both will come in as Asst. Cubmasters and one will train with Lisa and the other with Karl.  Karl’s counterpart will take over in March of 2009 when Karl leaves and Lisa’s would also take over then and she would step down to Asst. Cubmaster with the intent on being there to help and to finally step out of leadership in March of 2010.  She stated that she would still be around to help even after her son is out of Cub Scouts.  She would mainly be looking for someone with a Tiger now and hopefully younger boys to fill her position so that the leadership would be around for a while.  This will also help the pack keep that continuity.  Lisa gave copies of games and ideas that go with the Webelos pins to Todd and Sue.  Lisa would like to meet with the parents of the two Webelos 1 dens in January sometime and the Webelos 2 dens in November to go over transitioning into Boy Scouts and how it all works and what to expect.

Karl would like to see the character development and values training of scouting emphasized.

Minutes for September 20th Committee Meeting

Sue called the meeting to order at 7:15 pm

Minutes from the Committee Meeting of 8/16/07 were distributed.  The committee members are to look over the minutes and notify Nancy of any corrections.

Todd said he needs help picking up the popcorn on Saturday morning around 9:10 A.M.  He also spoke about the scare regarding microwave popcorn and Diacetyl flavoring.  Trails End has removed the offending chemical from their products.  That could be a good selling point.  Everything seems to be on schedule.  Top 6 selling families go to Laser Tag!  Council website still hasn’t been updated on mystery houses.  Todd plans to open about $100 worth of popcorn at kick-off.  A receipt for the boys to give donors of the military donation was discussed.  It was decided that would be a good idea.

Karl said that five wind-up emergency weather radios have been donated toward the popcorn sale prizes.  The council decided that for every $100 a scout sells, they get a raffle ticket, which will be entered into a drawing to win a radio.

Renee´ spoke about attendance awards for the go-see-its for the Tigers.  Five go-see-it’s are now required.  So long as the Tiger scouts attend either the go-see-it or a den meeting once a week, they should receive the attendance award.  She needs the web release forms for all the boys. 

Karl wants to be sure the service dens are aware of their responsibilities.  Lisa has a list.  Karl asked if the dens are working on their den cheer, song, etc.  Karl shared the October pack meeting plans.   He’s looking for assistance in the opening activity.  Dens will need to keep control of their scouts in the informal arena of the park.  Darkness could become an issue.  Pens and Pencils, and blank paper are being gathered for another activity.  Karl will send out the plans to the committee.  Karl asked about permission slips.  Whoever is in charge of the activity distributes and receives the permission slips and money.  This information should be on the forms from here on out.  Activities organized by our pack can be paid with checks be made out to the pack; BSA organized events can be paid with checks made out to BSA. 

Todd brought to our attention that BSA frowns upon any songs, chants, etc. that they deem inappropriate.  Caution is advised.  Watch your skits for Blue & Gold. 

Sue said that everybody really needs to get his/her training completed.  Every two years Youth Protection needs to be updated. 

Angie joined the meeting.  The October pack meeting was revisited.  The darkness concern was discussed and solutions came to light.  Angie also discussed locations for events.  Blue and Gold will be at the Nazarene church.  Pinewood Derby worked well at Zion Lutheran.  Angie will call to confirm Zion.  Karl stepped up to pick up the 50 donated kits at Home Depot for a back up activity for Tuesday.  Plans for the pack meeting was firmed up.  

An announcement will be made at the meetings to solicit volunteers for open positions.

A spring fundraiser was discussed.  We’ll see how popcorn does before we decide if we need to have one. 

Lisa suggested that we discuss whether we want to do the Holiday at Home parade next year.  Participation wasn’t great; 5 out of 45 boys showed up.   Leader phone calls-don’t let more than 2 weeks pass before checking on an absent scout.  If Lisa asks you to call parents that don’t have email, please follow through.  Double check the email list with your parents for accuracy.  The committee is the service den for this month.  Doug will get drinks and cups from McDonald’s.  We may have popcorn.  Angie will try to get fruit dippers donated. 

Todd said that instead of creating maps for the boys for the popcorn blitz they can choose on their own where to sell.

Minutes for August 16th Committee Meeting

Sue Berenson called the meeting to order at 7:02 pm

Nancy read the minutes from the committee meeting of May 20th.

Diane talked about awards. The arrow of light award plaque was quoted at $20. She also got quotes from Lynn’s Carryout at $4 each for the blue and gold awards. A discussion took place. We’ll see where popcorn sales are when it comes time to order.

Todd talked about popcorn. Todd suggested reserving the gym at church for popcorn kick-off and some suggestions for the event. Karl asked if the process for popcorn sales was the same as last year; Todd confirmed that it will be. Todd still needs show-n-sell assistance. Todd has implemented the “Popcorn Blitz” immediately following the meeting whereas the boys will be assigned an area and encouraged to sell that day in an attempt to get ahead of other Packs. Lisa read a flier regarding “Support our Troops” donation, which will be part of the popcorn sales this year. A discussion regarding profit distribution for show-n-sells to the boys took place. A vote took place. Boys will earn 15% of total sales for show-n-sell (booth sales coordinated by the Pack) and 10% on show-n-deliver and take orders this year in their scout account. The top sellers prize was discussed. Top 6 sellers (immediate family members combined) earn Laser Quest and pizza.

Todd also discussed track storage. He needs the track moved, at least during popcorn sales

Karl discussed the Program sub-committee progress. The committee will work on the activities the sub-committees came up with. Events were discussed.

Angie talked about fundraisers. She reminded everyone about window clings. She’ll send out an informational email to leaders and informational flier for parents. Angie also talked about pictures. Everyone agreed we should go back to Better Images. A date is being discussed.

Karl discussed the length of pack meetings. An hour and a half was the consensus. The Arrow of Light Award Ceremony was discussed in detail. It’s the intention to make this ceremony separate from Blue & Gold to make it special and significant. The Tuesday before Blue and Gold is tentatively scheduled for the Arrow of Light Ceremony.

Karl also discussed Dens creating a Den cheer or yell to increase Den pride. Service Den rotations will be organized by Lisa this year. Meeting organization was also discussed regarding assigning parts of the meeting to different people. The monthly attendance award for the dens will still take place. It is the Tiger stuffed animal as usual.

Lisa discussed Open Houses. Lisa is handling the first one. We need someone to handle Harry Russell Thursday Sept. 6 @ 6:30. Sign-ups are on the 4th of Sept. at Harry Russell.

Lisa shared the new t-shirts proposed. Red with black ink. Both sweatshirts and t-shirts will be offered. Lisa has plenty of adult yellow t-shirts left and a select number of youth. We will wait to order new adult shirts after the yellow is sold out. The committee voted unanimously to adopt the new red shirt.

  • Nancy read the minutes from the committee meeting of 1/18/07. Several corrections were noted:
    • The Blue and Gold banquet will be the last week in February from now on.
    • The training for leaders is held in the same building as the scout store, rear entrance
    • At day camp, the Cubs and Webolos will be at separate times
    • Typo-Daycare was typed instead of Day camp
  • Tonya took the floor to give an update on Relay for Life.
    • The dates again are June 29th-30th

    • Tonya got the movie certificates for scout birthdays. Birthdays will be recognized at Pack meetings.

    • Scale was discussed. Mike and Rocky will work to get a scale.
    • A projector and screen were discussed.
    • Mike will run races again
    • A pit crew station was discussed..
    • Hats were discussed to designate those in charge on race day
    • Budget was discussed. A vote for $100 starting budget passed unanimously.
    • Scouts will race first, then anyone who remains can race.
    • Todd will meet with Moraine Rotary to receive an additional $100 donation.
  • Lisa took the floor
    • Shirts were discussed.
    • Totem chip knives were discussed. Lisa will look for flashlight model. Tabled until next meeting.
    • Tiger meeting will be Aug. 6th at Woodland Trails
    • May 12th Cub Campboree at Fort Ancient details were discussed. A vote not to attend passed unanimously.
    • Dayton Dragons tickets were discussed. It passed unanimously to get 30 tickets for June 22nd.
    • Pinewood cars were distributed to those Dens present
    • We tentatively have Foxboro as a campsite for April 20-22nd.
    • Silverbacks indoor football outing was discussed. We declined to offer this to the pack.
    • Guide to safe scouting. Every den should have one.
    • Fliers for day camp were shared. The info will be in the newsletter.
    • Resident camp was discussed.

  • Sue called the meeting to order at 7:05 PM.
  • Minutes from the November 16th meeting were read by Nancy.
  • Tonya took the floor to discuss Relay for Life.
    • The dates for 2007 are June 29th & 30th. Details were shared. There’s an informational meeting Feb. 7th @ 6:00 PM @ W.C. Civic Center. A vote whether the pack will participate will be held at the next meeting
  • Mike Carter took the floor
    • He distributed Den packets. Scout rankings and achievements were discussed
    • Website status was shared
  • Todd took the floor to discuss Blue and Gold.
    • A discussion took place regarding the date of the banquet. A vote was taken that the date for the Blue and Gold Banquet 2008 will definitely be the last week in February; it passed unanimously
  • Karl took the floor
    • He asked about a list of service dens. Sue said that she will get a list together
    • Den meeting closing was discussed. It was decided that we would continue to have an opening for the Den meetings but no longer have a closing because it’s often an interruption when Den’s aren’t finished with their activities
  • Mike took the floor to discuss training.
    • It went well but there are still more leaders who need training. Training is the last Tues. and Wed. of the month in the building behind the scout shop from 7:00-9:00 PM.
  • Susan took the floor.
    • She requested more information for Den’s Quarter in the newsletter. They are due to her the Saturday before the Pack meeting. Mike also requested information for the website. Each Den has a page, please send Mike anything you want included. .
    • Susan requested help with the newsletter. Karl said he’d help with Den’s Quarters. Send your Den’s Quarter to Karl so he can get them to Susan by the Saturday prior to the Pack Meeting.
    • Susan wishes to recognize the scout’s birthdays. A discussion took place. Tonya will check into getting Danbarry cinema gift certificates donated.
  • Lisa took the floor.
    • A discussion took place about the importance of calling scouts when they’ve missed a week or two. If a scout has missed several meetings, Lisa needs to be contacted.
    • A question was raised about whether it was necessary for the Dens to all meet at the same time, due to the chaos. It was explained that more Packs are going to this to increase bonding and to get information to the Dens from leadership..
    • Lisa talked about the shirts.
    • Lisa raised a discussion about Totem Chips. She brought a knife with a light as a suggestion instead of the flat patch. Everyone liked the knife. A vote took place. It was unanimous to get the knives instead of a patch..
    • Lisa discussed getting the boys Boys Life magazine with part of the boy’s fees, in addition to getting their books. A vote took place. It was decided to provide the boys with both, the books and the magazine.
    • Leadership continuity was discussed. It’s going to take time to train new leaders when others cross over with their scout. The parents need to understand that openings will be coming and they need to think about stepping up. Leaders need to invite them to attend committee meetings and roundtable meetings, and ask them to help more with meetings
    • An update on the status of the Pinewood Derby track was given. It’s nearly ready. It was discussed how Pinewood works for the newbies
  • Todd took the floor
    • He asked Mike B. if they can sell snacks at the shooting range. He said the details need to be ironed out but it’s a yes for this year.
  • Lisa took the floor again, to discuss camping
    • Pack Campout will be July 13-15 at Possum Creek.
    • At Daycamp, Cubs and Webolos are being separated. Daycare will be held June 11-15 at Indian Riffle Park. New Tigers that sign up in May only go Thursday and Friday.
    • Cub Adventure is April 20-22. Details to be distributed mid March
  • Blue and Gold Banquet was discussed
    • Donations are still being requested
    • Each den needs to come up with a skit except second year Webolos
    • As far as food goes, the kids will still receive portions, the adults will fill their own plates with the chicken being portioned out
    • Den leaders need to find out how many family members are coming for each Den. The count needs to go to Angie and Tammy
  • H & R Block
    • Referral forms will be distributed to parents and each new client can mention the Pack at H&R Block for the Pack to receive a $25.00 donation. It was decided to go ahead with the program
  • Activities
    • Anytime your Den does something in the community, get it to Rochelle so she can get it published in the paper. Try to get a picture. Also include that info in Den’s Corner
  • Just a note: the March committee meeting will be March 15 and Lisa won’t be there
  • The next committee meeting will be February 15th.
