Minutes for November 17th Committee Meeting
Attendance:
Kerry Simpson Trish Schaney Dianne Akins
Todd Shafer Mike Carter Norm Shockley
Sue Berenson Mike Berenson Lisa Boyd

  • Kerry talked about popcorn. She is able to pick up the take order herself because of what is left from show and sell. Our total sales were $10,095.
  • Mike Carter talked about a possible new website with a bulletin board to get things talked out. This went along with Trish talking about the flow of information not always being up to par. It was also stated by Lisa that any advancement except beads need to be turned in Monday. She is unable to get advancement the following week.
  • Tammy handed out flyers for the U.D Game. If we order 10 tickets or more they are $5 each. They are not offering patches with this.
  • Lisa had many items. Alison Nelson our former District Exec. has asked us to adopt a family with nine kids one with epilepsy. The committee agreed to do this. The two largest dens will have two children to do. We will provide one outfit and one toy for each child, plus food for the family.
  • The December 20th Christmas party details were finished. Each den leader will run a station. The boys will travel by den from station to station. There will also be a food table for when they are waiting.
    • Den 1 – ornament station (have kids make an ornament)
    • Den 2 – Santa Station
    • Den 3 – Macaroni necklace station
    • Den 4 – Decorate cookies station
    • Den 5 – Christmas Bingo – with prizes
    • Den 6 – Face painting station
    • Den 7 – candy cane reindeer station.
Each den should try to have the parents donate as much as possible for their station. Talk to Kerry, too because she can get things at the Flower Factory. The pack will have a small gift for each boy. Lisa will check into having the school at 6pm to prepare. The party will start at 6:30pm.
  • We will deliver goodies to the Police and Fire dept again this year on Christmas Eve at 10am. We will meet in Class A’s at Harry Russell. Each den was given a sheet to get volunteer for goodies and/or delivery.
  • We still need people to agree to donate either small (will sell for $1) ornaments. Preferably homemade. We need more goodies too, Brownies and Rice Krispy treats are good. They should be cut into 3x3 squares. Cookies are also good and should be bagged in two’s. Everything need to be pre bagged. We will sell these for 50 cents.
  • Lisa also mentioned that the leaders can mention to their parents that St. Jacob Lutheran in Miamisburg is offering a free community Thanksgiving dinner for anyone with no place to go. This is Lisa’s church. It runs from 12:30-2:30pm.

Minutes for October 20th Committee Meeting
Attendance:
Susan Newman Kerry Simpson Mike Carter
Norm Shockley Angie Shockley Lisa Boyd
Monte Burge Sue Berenson Mike Berenson
Todd Shafer Bradley Boyd Trish Shaney
Lou Brinkman (Special Guest - Unit Commissioner)

  • Roundtable Topics – Sue went to the Roundtable meeting and they presented these ideas:
    • Parents do skits at pack meetings
    • Parents do chores at campouts
  • Lou Brinkman: policies in cub scouting, tour permits, fundraisers, FOS (raising funds for council). If anyone has questions you may email him at: Brink05@aol.com
  • Popcorn
    • Angie collected popcorn and money on Tuesday.
    • We are still waiting on money so Kerry is not sure where we are at yet.
    • Kerry wants all popcorn in. If you need popcorn please get with her.
    • We will be keeping the popcorn and try to sell what we have or fill take orders.
    • We have the popping pails so please try to sell these - $7 ea.
    • If the scout fills up a popcorn form they will receive a patch and a t-shirt.
  • Newsletter - If you would like anything added to the newsletter (aside from the den’s corner, please let Susan know.
  • Advancements - Advancements are due on the Thursday before the pack meeting to Mike. If you would like anything added to the website please let Mike know.
  • Training - Mike B needs everyone to email their training dates to him.
  • Angie
    • Rumpke Recycling (Monument Ave) – they will pay $.48 per lb and $ for newspapers. They will send the check to the pack. Susan mentioned the possibility of having a recycling war between the dens. It was suggested that we use this money to help out a pack hurt by hurricane Katrina. This is to be voted on in November with a top dollar amount decided. The money will either be made in a check to the Pack (just like we'd do with the above troops) or a gift certificate will be bought to their council shop which will limit them in what they can purchase.
    • If you want anything donated for the pack or if you have a specific company you would like to get a donation from please let Angie know.
    • Pictures – November pack mtg The pack will get 10%.
    • The question of whether or not scouts accts will be carried over or will the scout account be wiped clean when the scouts moves onto Boyscouts was discussed. It was voted that the Scout account would go with the boys to Boy Scouts only if they officially signed up with a Boy Scout troop as required by the Arrow of Light rank. The check would be mailed to the treasurer of that troop. The vote had two no votes from Lisa and Mike. Lisa objected because only a year ago we were opperating in the red and needed to borrow form these accounts to pay for advancement. Mike objected because when they were first set up two years ago it was made clear that these were for scout expenses incurred while they were with the Pack and all new families are told this at sign ups.
  • Trish had a question about the last committee mtg
  • Lisa
    • We will be participating in the Holiday Fest at the Civic Center on Dec. 3rd from 2-6pm. We will be selling the popcorn pails, baked goods, & ornaments
    • We will be having a Christmas party for the scouts and families on Tuesday, Dec 20th. We will finalize the plans for this in December, but suggestions includel have a Bring a Friend Contest and a prize or raffle
  • There was also discussion around the pack getting a trailer. Bradley mentioned that we really didn't need a trailer because he had access to one whenever we needed it. The problem was having someone to pull it. We didn't have anyone available for that the last two campouts. Also, because Webelos resident camp and Webelos weekend is the only time that we don't have parents for each child this is really the only time we absolutely need one.
  • Lisa added some notes on the trailer. "Do we really want to incur the yearly expenses of insurance on the trailer (which would be mandatory), the insurance on the equipment since it would be at a storage facility (which may be a monthly fee), tags, title, upkeep, etc or would we rather put that money into lowering the yearly fees? Also, we would need an equipment Chair (or Quatermaster) to keep track of the equipment (who checks it out and when). Also, this person would have to be available to get the equipement to whomever was in charge of a campout or outing and then would also have to be available to get that equipment back and make sure it is all clean and stored properly. I currently do all this, but if we want the equipment stored off my property (as suggested at the meeting) then I would fee better if someone else was in charge of it since it wouldn't really solve the persons concerns if I still took care of it."
  • Mike C suggested the leaders/spouses also have a party.

Angie Shockley Norm Shockley Tammy Richardson

  • Regarding popcorn: We will do door to door sales this year to try to increase profit. Increased profit will help pay for a trip to the Columbus Zoo and maybe help reduce next year’s fees.
  • All boys will make a request for the amount that they would like to start with for selling. The Den leaders will be responsible for keeping this until it is picked up. Pick up date from Kerry is Saturday, September 24th. Kerry will keep excess for those who need more.
  • Last year’s total sales was $6467 with approximately $2000 in profit. 31 boys sold. Pack needs approximately $10,000 in sales to help pay for trip to Columbus Zoo and/or reduce next year’s fees. Each boy will still receive 10% of sales to their Scout account. In addition to this the boys will receive an additional amount to go towards the Columbus Zoo trip. This is as follows:
    • $75 in sales: additional $5
    • $150 gets $10
    • $225 gets $15
    • $300 gets $20
    • $500 gets $30
    • $700 gets $30 plus $10 gift Certificate to the Scout store
    • $900 get $30 plus $20 to scout store
    • $1100 gets $30 plus $30 G.C
    • $1500 gets $30 plus $50 G.C.
    • $2000 gets $30 plus $100.
All dollar amounts go directly into the scout accounts. This will replace the Council popcorn prizes. Kerry will try to get to all dens in the first two weeks to hand out forms and discuss this.
  • We will also have a Pack neighborhood sale day on October 9th from 3-4:30pm. Any boy who wants additional sales can come that day. Angie will talk to soccer about selling at the games. Kerry will ask Rhonda (Scout office) about getting the popping pails. Sept 12th will be the training session that Kerry, Angie and Todd attend. We will try to set the Columbus Zoo overnighter the night of March 3rd or 4th.
  • In other news, Jacob Shockley needs recruiter patch for Andrew Perrin.
  • Angie to contact Homecoming committee to get us in parade
  • Lisa will have the list for dens responsibilities at Pack meeting at next committee meeting. Next meeting is September 15th. Lisa will call to reserve campsite for Autumnfest (done).
